Here is what the loop looks like at an independent advisory firm, where the intro call is the front door:

  • The trigger. A prospect books an intro call on Calendly. The call happens on Google Meet or Zoom and ends.
  • The note. Caddi reads the transcript and writes the meeting note in the firm's format: what they came in with, what was discussed, what was decided, what happens next.
  • The CRM. It updates the household in Wealthbox: the note, the tasks with dates, the pipeline stage.
  • The follow-up. It drafts the follow-up email in Gmail and leaves it in Drafts for the advisor to read and send.
  • If the prospect said yes. It sends the advisory agreement through Docusign, files the signed copy to the client folder in Google Drive, and opens the account in Altruist.
  • If not yet. A follow-up only. No paperwork goes to anyone who has not said yes. That was the one rule the advisor typed, and the agent keeps it every time.

Consultants and solo practitioners run the same shape with different tools. A discovery call becomes a proposal draft in Google Docs, a deal in HubSpot, and a follow-up. A consultation with a solo attorney or accountant becomes intake answers in the practice system, an engagement letter out for signature, and a filed copy when it comes back.
