What legal billing software has to do

Generic invoicing tools fail law firms on four requirements, which is why this is its own category:

  • Trust accounting. Client funds held in trust or IOLTA accounts have to be tracked per matter and reconciled against the bank and the ledger. Bar rules make this non-negotiable.
  • Time capture. Most revenue is still hourly, so the system has to make recording time easy and keep narratives attached to the right matter.
  • LEDES and UTBMS. Corporate clients and insurers often require invoices in the LEDES file format with UTBMS task and activity codes on every entry, submitted through their e-billing portal.
  • Split and alternative billing. Flat fees, contingency, and a single invoice shared across several payers.

What even good billing software does not do is read a client's outside counsel guidelines and check every entry against them before the bill goes out. That work sits with a billing coordinator, and we come back to it below.

How we picked

Small firms should shortlist two or three of the published-price systems and choose on LEDES plan, trust accounting and accounting depth. Large firms are choosing between Elite and Aderant. At every size, the review before the bill goes out is still mostly manual.

Which system fits your firm

Solo and small firms (1 to 20 people)

Decide first whether you want billing inside practice management (Clio, PracticePanther, Rocket Matter, CosmoLex) or a focused time and billing tool next to your matter system (TimeSolv, Bill4Time). Then check the plan that includes what you actually need: if even one insurer or corporate client requires LEDES, price the tier that includes it, not the entry tier. Add LawPay if your system's built-in payments do not cover trust deposits the way your bar expects.

Midsize firms (20 to 200 people)

E-billing volume changes the math. A firm sending a few LEDES invoices a month can live with a billing coordinator checking each one. A firm with dozens of institutional clients, each with its own guidelines, rate rules and portal, cannot. At this size look hard at accounting depth (CosmoLex or TimeSolv with QuickBooks or Xero) and at how much of your billing team's week goes to pre-bill review and resubmissions.

Large firms (200+ people)

Large firms run a financial system of record, typically Elite 3E or Aderant, plus a layer for guideline compliance and portal submission. The remaining manual work is in the joins: pulling prebills, routing them to billing partners, chasing edits, and reconciling receipts back to matters.

Automating pre-bill review and e-billing compliance

Every system above produces an invoice. None of the small and midsize tools reads a client's outside counsel guidelines and checks each entry against them, and that is where revenue leaks: block-billed entries, vague narratives, the wrong UTBMS code, a timekeeper billing above the approved rate. Switching billing systems

  • Close the trust books first. Reconcile every trust ledger to the bank before migrating, and keep the reconciliation report.
  • Export unbilled time and open invoices. These are what firms most often lose in a migration.
  • Rebuild rate tables and client billing rules. Rates, task code requirements and LEDES settings rarely transfer cleanly.
